Riverview recruitment is delighted to be working with Royal Free London (RFL) Property Services to appoint a Business Support Assistant on a minimum 6-month contract. This is an exciting time for the estate’s consultancy with an abundance of new works streams, in which this role would be supporting a Senior Project Manager to provide high quality secretarial and administrative services to the Service Transformation Projects team.
RFL Property Services (RFLPS) is a wholly owned subsidiary of Royal Free London Group and the organisations formation it has embarked on a journey of transformational change in the way estate services are delivered within the NHS.
As a Business Support Assistant, you will work in collaboration with administrative teams on the multiple sites of the Trust.
The individual will possess excellent communication and interpersonal skills and will be capable of working effectively under pressure. They will have excellent secretarial skills and a high-level working knowledge of Windows-based systems and have excellent minute taking skills. They should be capable of working to schedules and using their own initiative, whilst always maintaining a high level of confidentiality and discretion.
The key part of this role is to support the project management team within service transformation and be the first point of contact for all enquiries, from staff, public, patients and members of external organisations.
Key responsibilities, include but are not limited to.
To provide a comprehensive, confidential, and high quality secretarial and administrative service to the hospital capital projects team.
To provide financial support for the team including Liaising with suppliers and contractors to receive quotations, raising POs and receipting invoices.
To take minutes at meetings as required. These may be of a highly confidential nature, requiring accuracy and discretion.
To create and maintain effective working relationships with staff at all levels, internal and external.
To manage the team diaries, making decisions regarding the appropriateness and priority of appointment requests.
Updating and managing business tracker reporting and circulation to relevant boards.
To be responsible for the preparation of complex documentation, including contract documentation, ensuring the provision of high quality and timely work processing services (utilising all Microsoft Office packages), when producing highly sensitive correspondence, reports, emails, presentations, project plans and spread sheets.
To establish an effective communication system - creating and maintaining a database of key contacts, including stakeholders.
To assist in the recruitment, supervision and training of new staff and other clerical staff and give continuous guidance as required.
To be responsible for photocopier contracts including renewals, maintenance and efficiently dealing with faults. To also take responsibility for any IT equipment and ensuring this is maintained as appropriate.
In conjunction with colleagues from other divisions, maintain the office environment including reporting & resolving related issues
To manage the submission and quality of staff timesheets.
To book venues, manage calendar entries and arrange hospitality for events and meetings on behalf of the executive team.
To maintain service transformation team SharePoint page and support effective document management.
Educated to degree level or equivalent experience and ideally holding relevant IT certification. This role would suit a highly organised and ambitious individual who works well under pressure and within a pro-active and successful team.
You will need to have excellent IT skills, advanced Microsoft Excel knowledge and understanding of finance systems and SharePoint. To apply, you must have a proven track record working in a business support role, within a complex environment. You will have excellent communication, problem solving skills and ability to influence staff at all levels to ensure business objectives are met.
Working Monday to Friday, 35 hours per week. This role would offer a hybrid working opportunity with a minimum of 2 days expected at the office in Enfield and the rest of the week working from home.
