Riverview recruitment is delighted to be working with Royal Free London (RFL) Property Services to appoint a Business Support Assistant (BSA) on a minimum 3-month contract. This is an exciting time for the estate’s consultancy with an abundance of new works streams, in which this role would be supporting the service transformation project management team with NHS recruitment and processes.


As BSA, you will provide high quality secretarial and administrative services to the Service Transformation Projects team and must have prior experience working on both TRAC and SharePoint systems.


RFL Property Services (RFLPS) is a wholly owned subsidiary of Royal Free London Group and the organisations formation it has embarked on a journey of transformational change in the way estate services are delivered within the NHS. As a Business Support Assistant, you will work in collaboration with administrative teams on the multiple sites of the Trust.


You should be capable of working to schedules and using your own initiative, whilst always maintaining a high level of confidentiality and discretion. The key part of this role is to support in areas of HR and recruitment within service transformation and be the first point of contact for all enquiries, from staff and members of external organisations.



Key responsibilities, include but are not limited to.


oTo provide a comprehensive, confidential, and high quality secretarial and administrative service to the service transformation projects team.

oTo provide financial support for the team including Liaising with suppliers and contractors to receive quotations, raising POs and receipting invoices.

oTo take minutes at meetings as required. These may be of a highly confidential nature, requiring accuracy and discretion.

oTo create and maintain effective working relationships with staff at all levels, internal and external.

oTo operate the TRAC system, to create a smooth onboarding process and give regular updates to senior management.

oTo manage the team diaries, making decisions regarding the appropriateness and priority of appointment requests.

oUpdating and managing business tracker reporting and circulation to relevant boards.

oTo establish an effective communication system - creating and maintaining a database of key contacts, including stakeholders.

oTo assist in the recruitment, supervision and training of new staff and other clerical staff and give continuous guidance as required.

oTo manage the submission and quality of staff timesheets.

oTo maintain service transformation team SharePoint page and support effective document management,


Educated to degree level or equivalent experience and ideally holding relevant IT certification. This role would suit a highly organised and ambitious individual who works well under pressure and within a pro-active and successful team.


You will need to have excellent IT skills, advanced Microsoft Excel knowledge and understanding of finance systems NHS TRAC and SharePoint. To apply, you must have a proven track record working in a business support role, within a complex environment. You will have excellent communication, problem solving skills and ability to influence staff at all levels to ensure business objectives are met.
