Riverview recruitment are delighted to partner with a charity organisation that specialises in providing student accommodation to post-graduate students. Set in the heart of London, the college is looking to appoint a permanent Soft Services (Catering, Cleaning & Laundry) Facilities Manager within their outstanding management team. This unique college is a charity which provides residential accommodation to post graduate students from all over the world.

Job purpose

The principal responsibility of the role will be to ensure the key Soft FM services (catering, cleaning, and laundry) are effectively delivered to achieve the College’s key corporate objectives. The role carries professional responsibility for the procurement and delivery of these Soft FM services, and the management of health and safety, fire safety, statutory compliance, and the environment within these contracts.

Key responsibilities

  1. Ensure the Soft FM service is delivered in line with agreed KPIs and industry best practice.

  2. Lead person at monthly contract review meetings with Soft FM providers, and be responsible for ensuring the production of timely management reports to the Head of FM and College stakeholders.

  3. Manage the P&L for members catering, including pricing for all menus and establishing an appropriate gross profit target.

  4. Support and work with the College Events team, to ensure the catering service contributes to the generation of events income.

  5. Review, develop, and procure Soft FM services in consultation with the Head of FM, using the latest methods, technology and industry trends to offer the College improved service delivery.

  6. Responsible for ensuring the delivery of the Soft FM service is in line with health and safety legislation and approved codes of practice.

  7. To ensure attendance at Health and Safety Committee meetings, and support the delivery of Health and Safety compliance across all three College buildings at the same campus.

  8. Develop effective working relationships with appointed Member Council officers, and attend scheduled meetings to update on the delivery of services.

  9. Provide the lead support to the Environmental Panel, and proactively work with members, service providers and consultants, to implement environmental and sustainability improvement plans.

  10. Undertake audits of the cleaning and catering service standards, and ensure all documentation, including audit reports, are accessible for operational or Executive level review.

  11. Manage PPM delivery for Soft FM activities, and ensure contractors are meeting their statutory obligations in the provision of services.

  12. Produce appropriate methods of communication to members to describe service innovation and service changes, utilising social media where appropriate.

  13. Develop and update Soft FM policies, procedures, and standards, in line with changes to services and College objectives.

  14. Undertake any other reasonable duties as required by the line manager.

Person Specification

  • A relevant degree or qualified by experience

  • A Health and Safety qualification (NEBOSH preferred)

  • Professional Membership like WIFM and COSHH training desirable

  • Experience looking after similar Soft FM services within a relevant business operation

  • Proven track record of managing catering and cleaning contracts, and budgets

  • Strong financial acumen & understanding of P&L accounts

  • IT literate with Microsoft & Windows applications

  • Managing Quality Assurance through KPI’s & development of policies, process & procedures

  • Continual professional development of technical qualifications

  • Excellent negotiation and communication skills

  • Ability to develop excellent working relationships & represent the College at a senior level

  • Flexible, with the ability to work on their own and plan their priorities

  • The ability to write concise reports using data
