A super-savvy social tech business in the heart of Soho require a driven, energetic facilities coordinator to join their small but progressive team.

You will be the face of the client and need to enthuse the customer orientated, solution approach to your work. You will have previous experience working in a corporate environment looking after a full range of facilities provisions with excellent attention to detail.

It is imperative that you are used to working in a demanding, fast-paced and client focused environment. The following duties provide a flavour for a typical day in the busy but exciting office environment.

■  Ensure visitors facilities (meeting rooms, waiting areas) are checked regularly and always in appear ready for business.

■  Ensure reception and client facing areas are checked regularly and always appear clean and tidy and free from clutter.

■  Ensure that all stock orders are placed on time and that regular reviews are conducted to ensure timely deliveries and seasonal adjustment to stock level.

■  Ensure that all stock for kitchens is maintained to the agreed level and that orders are checked on arrival.

■  Take deliveries and ensure stock is kept organised either in the store room or kitchen, stationery point.

■  Undertake daily building walkthroughs and support meeting room checks in accordance with local processes. Ensure all walkthroughs are documented and actions highlighted.

■  Ensure cabling and workspace presentation adheres to local codes.

■  Ensure all requests are logged in Jira (helpdesk system) and tickets are closed out and reported within agreed SLA.

■  Ensure that room booking requests and room set up changes are understood and that the rooms are delivered in the correct presentation state and at the time requested.

■  Notify the client of any room booking clashes and or setup issues in particular in client/guest facing areas.

■  Undertake daily/weekly cleaning quality checks and highlight any non-compliance to service provider. Ensure all quality checks are documented.

■  Apply, execute and maintain function related quality issues with vendors.

■  Ensure coordination of site inductions for vendors and that local security are always informed in advance of any visits.

■  Maintain a safe and tidy workplace, and report all unsafe acts/ conditions accordingly.

■  Periodically review access to secure areas, store rooms with the Client’s security.

Skills & experience

  • Strong customer and facilities services skills and experience within a high profile environment.

  • Service oriented attitude combined with a flair for pro-active problem solving to exceed customers' expectations.

  • Excellent computer skills and the ability to learn new software, systems and social media platforms

  • Ability to easily memorise names and recognise individuals’ particulars.

  • Ability to provide services to the highest specification within a Corporate Building.

  • Strong team player within a Customer Service team and Service Providers.

  • Working knowledge of Facilities Management and Building operations

  • Ability to manage service disruptions in a seamless manner via effective use of the team’s resources so as to maintain business as usual activity.

  • Ability to motivate self and others, excellent time management and organisational skills.

  • Previous experience in operating a resource or a reservation system.
