Riverview are delighted to be working with a small chartered surveying practice formed in 1992 by a management buyout. The practice is multi-disciplinary, covering commercial and residential property management, commercial agency, residential lettings and lease advisory including valuations on commercial property.
Their offices are located in Reigate and Dorking, and this role would support the Property Management Department in Dorking, which is a key element of the business ably supported by the Agency and Professional services.
·To provide administrative services in the management of clients’ properties in both residential and commercial property.
·To liaise with clients, leaseholders, tenants and contractors and deal with correspondence and telephone enquiries as necessary.
·To visit properties to inspect the condition and to check works undertaken by contractors, cleaners, gardeners reporting back to client etc. Complete proforma templates as necessary.
·To arrange repairs estimates depending on clients’ instructions within the management authority. Checking of works upon completion.
·To renew/negotiate contracts with service providers when necessary.
·To pass for payment invoices in respect of outgoings of properties after checking carefully the validity.
·To liaise with the Accounts Department on arrears of rent, assisting with credit control.
·To prepare specifications of work such as external redecorations; arrange tenders and serve notice on leaseholders; supervise work and arrange payment to contractors upon satisfactory completion.
·To liaise with insurance brokers to renew policies and deal with insurance claims in respect of managed properties, obtaining competitive/comparable renewal quotes, liaising with the leaseholders and the insurance company concerned.
·Be prepared to assist other departments, particularly Lease Advisory and Commercial Agency within the Partnership and undertake any reasonable duties requested from time to time.
·Maintain strict confidentiality at all times on all matters relating to the Partnership and its clients.
·To ensure RICS requirements are strictly adhered to in respect of clients’ money regulations and service charges.
·To ensure that frost protection is undertaken in October on unoccupied properties and maintain through the winter months.
·To maintain existing database and file records.
·To promote the management department and other supporting services at all times.
Skills & Experience
Computer literacy in Microsoft Office Outlook, Word, Excel and property management software.
The applicant will be expected to demonstrate excellent attention to detail and be highly organised
Be able to create an excellent working relationship with both clients and tenants.
The applicant will be expected to travel between the properties and therefore a full clean driving licence with car will be required.
Be personable, presentable and an excellent communicator
This role may suit a recent graduate and RICS support could be provided.
This role is an immediate requirement and will need someone to work 9am - 5.30pm, Monday-Friday in a small team of 13 at an office based in Dorking.
